Calendar Request and Facilities Use

Philosophy of Use

It is our desire that the property and facilities of the Rancho Bernardo Community Presbyterian Church (RBCPC), that God has entrusted us, be used to serve the cause of Jesus Christ and His people.  We want the property and facilities to experience maximum use for the greatest service to support RBCPC’s core values and goals and our mission statement where, “Jesus transforms us so that we can help change the world!”

Scheduling Procedure

All requests must be made through RBCPC’s Facilities Office preferably one month prior to the event.  RBCPC reserves the right to rescind or reassign any reserved space.  The usage priority of events held at RBCPC is:

  1. Church Functions
  2. Church-Related Ministry Functions
  3. Christ-based, Non-Profit 501(c)3 organizations whose tenets support RBCPC’s mission statement.

RBCPC facilities are not available for non-church-related events or activities, unless otherwise approved by the Facilities Committee.

All requestors must complete a Facility Use Form, obtained from the church office or website.  The applicant, or its representative, must be over 18 years old and present during usage.  The event/activity must be authorized in writing by a Pastor or Team Leader.  The completed Facility Use Form is to be submitted to the Facilities Department for final approval. The date on which the form is received will establish the priority of the request when there is more than one request for the same space at the same time.  The Facilities Department will notify the applicant with a confirmation upon approval for facility usage.

Use Guidelines

  • Respect for Facility - Facility use is based on the condition that the premises are left in clean and working condition as they were found prior to any event or function.  Leaving the facility in unkempt condition, incurring damage, or not securing the premises will be grounds for losing facility use privileges.  The full cost of any damage to church property resulting from use of the facility shall be billed to the person, or organization, who reserved the facility space.
  • Insurance – Organization activities classified under the third priority above are required to maintain liability insurance coverage with a minimum of one million dollars per person and three million per occurrence. RBCPC shall be provided with a Certificate of Insurance confirming that it has been named as additional insured at least two (2) weeks prior to use of the church’s property and/or facilities.  An applicant failing to submit proof of insurance will not be permitted to use church property.
  • Indemnity – Applicants shall indemnify and hold Rancho Bernardo Community Presbyterian Church and its Officers and Employees harmless against any and all losses, damages, liability, claims, demands and causes of action arising out of or in any way connected with the use by applicant of Church property, including premises liability.
  • Safety – Any activity that may be potentially harmful or unsafe is not permitted on church property.  Activities must comply with all ordinances and laws.  Exit signs must remain visible at all times.  Posted occupancy limits for each room must be followed in order to comply with fire code.
  • Offices and Supplies - Participants shall not enter the church offices or use supplies, phones, fax machines, copy machines, computers, or any other church equipment not noted on the Facility Use Form or without express permission of the Facilities Office.
  • Audio-Visual Equipment – Tech Booths may only be used by a trained RBCPC technician, and with prior arrangements as designated by the Technical Services Manager.  All requests must be submitted through the Facilities Use Form and Tech Support Form.
  • Food Service – Approval to serve food must be granted by the Food Service Ministry and comply with the Department of Health guidelines.  The main kitchen is to be used solely for Food Service Ministry.  All food service requests must be coordinated with the Food Service Manager.  The satellite kitchen may be used upon approval of the Facilities Office.
  • Time Limitation – All events on campus will conclude by 9:30 PM.
  • Alcohol, Tobacco, Drugs, Firearms and Gambling – The use of alcohol, tobacco, drugs, firearms or gambling are not permitted anywhere on church property.
  • Partisan Political Events – No partisan political events will be scheduled.
  • Commercial Events – No commercial activities will be allowed.

Any or all persons requesting use of part or all of RBCPC’s property agree to all the rules and regulations set forth in this policy.  If you have any questions, please contact the Facilities Office (858) 487-0811, ext. 270.

Serve With the Facitilities Team

Facility_Volunteer_Saw

The Facilities Department has an ongoing and special need for volunteers around the campus both skilled and unskilled. Please consider joining the Facilities Committee, the Gorilla Gardeners, the Pirate Painters or helping out in any handyperson way that your skills and time permit. Ralph Parris is one of our super hero volunteers. He accomplishes a lot of the carpentry around here as well as applying his other considerable talents. Ralph would like to remind us that his Savior was first a carpenter who also worked with his hands as well as His other God-given talents.

Feel free to call ext. 209 to volunteer.
